HOW TO RECEIVE ITEMS ON A PO
This screen is used to receive items on a purchase order. You select the PO from
a pick list and enter the quantities received. The system updates the quantity
on hand on the part record.
To select a PO, position the cursor in the PO Number field and press F8. Select
the proper vendor and PO number from the pick lists displayed. Upon selecting
the PO, the system will fill out the screen with the PO information. If the PO
has more than 11 items, the PgDn=Next label will be highlighted. You can use the
PgDn and PgUp keys to scroll through the items.
Fill in the Qty fields with the quantities received. The quantity received can
be greater than the Qty Ordered (overshipment) or less than the Qty Ordered
(partial shipment). The quantity received can also be negative for defective
items returned to the vendor. The amount in the Qty field is added to the Qty
Rec To Date field on this screen and to the Qty On Hand field on the Item
screen.
After you have filled in the Qty fields with the quantities received, press F5
or Enter.
When all of the items have been fully received, the system will automatically
change the Status field to CLOSED. This will eliminate the PO from the Open PO
report.
Sometimes a vendor is not able to supply the full quantity of an item. You can
force the system to close the purchase order by changing the amounts in the Qty
Ordered field to the amounts in the Qty Rec To Date field. This is called
closing a PO short.
To select another PO, simply position the cursor in the PO Number field and
press F8.
To exit the screen, press Esc.
